Frequently Asked Questions
Everything you’re wondering about InCite OS.
Straight answers on what InCite does, how it handles your data, and how it keeps its AI honest. Still have a question? We’re glad to talk it through.
The basics
What is InCite OS?›
InCite OS is an AI-powered intelligence platform built for nonprofit leaders. It reads your real documents — contracts, grants, financials, staffing, compliance records — and turns them into one board-ready picture of your organization’s health: where you’re strong, where you’re exposed, and what to do about it.
Who is it for?›
Executive teams at nonprofits — EDs, CEOs, COOs, CFOs, and their boards. If you’re responsible for sustainability, funding, compliance, or strategy, it was built for you.
How is it different from a dashboard or a spreadsheet?›
A dashboard shows numbers you already track. InCite reads across your whole organization — finances, funding, programs, people, compliance — connects the dots, and tells you what they mean together, in plain language. It’s less a dashboard and more an analyst that never sleeps.
Do I need to be technical to use it?›
No. You upload your documents and ask questions in plain English. Sarah, the built-in advisor, does the analysis and shows her work.
Getting started & your data
What do I need to provide?›
Your existing documents — audited financials, Form 990, budgets, grant agreements, contracts, staffing lists, compliance records. No special formatting required; InCite reads them as they are.
What file types can I upload?›
PDF, Excel (XLSX/XLS), CSV, Word (DOCX), and plain text. Scanned or image-only PDFs are read automatically with OCR.
How long does setup take?›
You can upload a starter set of documents and see your first insights the same day. The picture sharpens as you add more, and we help you get going.
What if my data is incomplete?›
That’s expected — and InCite is honest about it. Instead of guessing, it tells you exactly what’s missing and what each gap would unlock, so you always know the most valuable thing to add next.
Sarah & trustworthy AI
Who — or what — is Sarah?›
Sarah is InCite’s built-in AI advisor. Ask her anything about your organization — “why is our sustainability score where it is?”, “what are our biggest risks right now?” — and she answers from your data, with sources.
Can I trust the numbers? Doesn’t AI make things up?›
This is the question we engineered hardest against. Sarah uses only values present in your documents, cites the source behind every figure, and says “I don’t have that” rather than inventing an answer. See how we minimize hallucinations →
Do you use my data to train AI models?›
No. Your documents and figures are never used to train public AI models.
Can Sarah search the web?›
Web research is off by default. When an admin turns it on, it’s limited to public, regulatory information — never your organization’s own numbers.
Security & ownership
Is my data secure?›
Yes. InCite runs entirely on Google Cloud, encrypted in transit and at rest, with each organization’s data isolated from every other at multiple independent layers. See our security architecture →
Who can see my data?›
Only the people you authorize within your organization. Your data is partitioned by organization and never visible to other customers — not even to another nonprofit’s administrator.
Do I own my data?›
Completely. You can export it anytime, and a deletion request purges your records and files across the platform.
Where is it hosted?›
On Google Cloud Platform — the same SOC 2 / ISO 27001-certified infrastructure that runs Google’s own services. We don’t operate our own servers.
What it does
What is the Organizational Blueprint?›
It’s InCite reading your organization as one connected structure across seven dimensions — Mission, Outcomes, Programs, Population, Revenue Flow, People, and Infrastructure — so you can see what’s solid, what’s under strain, and how a weakness in one area pressures the rest.
What is the Sustainability Score?›
A single, board-ready read on financial health, rolled up from weighted signals like runway, revenue reliability, and cost recovery — with the drivers behind the number always visible and the trend tracked over time.
Does it handle compliance, contracts, and grants?›
Yes. It tracks audit and filing readiness (Single Audit exposure, SAM, Form 990, registrations), maps committed contract revenue against expiration dates so funding cliffs are visible months ahead, and brings every grant’s reporting deadlines, deliverables, and renewals onto one view.
Will it flag risks before they become problems?›
That’s the point of the Early Warning system. It surfaces funding cliffs, staffing gaps, and renewal deadlines while there’s still time to act — ranked by what matters most over the next 12 months.
Reliability, pricing & support
Is the platform reliable?›
We run on Google Cloud, monitor the platform around the clock, and publish a live status page so you can always see how things are running. Check live status →
How much does it cost?›
Pricing is tailored to your organization’s size and the modules you need. Reach out and we’ll put together a quote that fits — including any built-in advisory hours.
How do I get help or get started?›
We help you onboard and stay available to your team throughout. Reach us at hello@fit-proof.com to set up a walkthrough.
